Account Services Administrative Assistant

PlaneSense, Inc., a leader in private aviation, is seeking an Administrative Assistant to join its Account Services team. Headquartered in Portsmouth, NH, PlaneSense is a rapidly growing aviation company that serves clients across the US, Canada, the Bahamas, the Caribbean, and more. These unique flight operations require a dynamic team of staff committed to safety, customer service, and quality throughout all aspects of the company.

The Account Services team maintains client relationships by providing support information and guidance, researching, and recommending opportunities. This department prepares reports by collecting, analyzing, and summarizing financial data and uses this information to present to both clientele, as well as upper management for the purpose of sales forecasting and planning. Account Services also communicates and manages contractual rights and obligations to clientele as well as internally utilizing clientele relationships to establish retention of business.

The Administrative Assistant is an important role that supports the team in a wide variety of functions, including record maintenance for new and continuing clients, answering phones, preparing documents and reports, compiling records, scheduling meetings, organizing, and maintaining information, analyzing data, and providing general office support.

As the Administrative Assistant, you will:

  • Provides administrative support to ensure efficient operation of office, including answering phones and monitoring emails
  • Supports team by performing tasks related to organization and strong communication
  • Builds and maintains client records within various database platforms
  • Monitors client use of aircraft and reports sales opportunities
  • Processes and maintains aircraft records as needed
  • Prepares and mails welcome kits for new clients
  • Assist in the preparation of regularly scheduled reports for department as well as upper management
  • Carries out administrative duties such as filing, typing, copying, scanning, etc.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Provides information by answering questions and requests
  • Contributes to team effort by accomplishing related results as needed.

Education and/or Experience:

Minimum educational requirement: Bachelor’s Degree.

Computer Skills:

  • Proficiency in MSWord
  • PowerPoint and Excel required
  • Experience with customer management software, such as Salesforce, is a plus.
