The Payroll & Tax Compliance Specialist is responsible for processing payroll and ensuring compliance with all federal, state, and local tax requirements. This role supports a growing, multi-state workforce and oversees payroll tax activity in ADP, ensuring filings are accurate, timely, and compliant. The position plays a key role in reviewing payroll data, resolving discrepancies, and minimizing risk.
Essential Duties and Responsibilities
- Process new hires, terminations, and qualifying life or work events
- Import, review, and verify employee timecards to ensure approvals are complete and totals are accurate
- Maintain and update employee pay data in ADP Workforce Now, including pay rate changes, transfers, and earnings adjustments
- Process and verify payroll data including wage garnishments, child support orders, and other deductions as needed
- Review payroll registers and supporting reports to help ensure accuracy prior to finalization
- Review payroll tax withholdings and filings in ADP to help ensure accuracy and compliance with federal, state, and local requirements
- Support multi-state payroll compliance, including assisting with state registrations and tax setup
- Reconcile payroll tax reports and assist in identifying and resolving discrepancies
- Assist with responding to tax notices and coordinate with ADP and applicable agencies as needed
- Support preparation and review of payroll related reports and filings for federal and state agencies
- Assist with year-end payroll activities, including W-2 review and reconciliation
- Help maintain compliance with payroll, wage and hour laws, and company practices
- Maintain accurate payroll and personnel records in accordance with company policies
- Support with internal and external audits
- Maintain strict confidentiality in all payroll and employee matters
- Support Payroll and HR projects and additional tasks as needed
Qualifications
- Proficiency in Microsoft Excel and other Microsoft Office applications
- Strong attention to detail and organizational skills
- Ability to review and verify data for accuracy
- Strong analytical and problem-solving skills
- Ability to manage deadlines and prioritize tasks in a fast-paced environment
- Ability to maintain confidentiality and handle sensitive information
- Strong communication skills and ability to work collaboratively across departments
Education and/or Experience
- 2+ years of experience in payroll processing or working with a payroll service provider
- Bachelor’s degree in Accounting, Business Administration, Human Resources, or related field preferred
- Strong working knowledge of ADP Workforce Now
- Experience with ADP Workforce Manager or similar software
- Working knowledge of payroll processes and payroll tax requirements
